What else do I need to do? 

For any residential with young members the leader in charge is required to complete the REN process and submit it to their commissioner for approval.

When Part 1 of the form has been completed by you, it should be sent to your District Commissioner for ‘signing’ and forwarding to your home (Division) Outdoor Residential Adviser within 12 weeks of the event. Part 2 of the form should then be completed and sent to your District Commissioner to be 'signed'. This needs to be with the Commissioner by 24 May 2026.

 

Your Commissioner should be asked to forward this to the host Division Outdoor Residential Adviser. If the host Outdoor Residential Adviser CANNOT confirm receipt of this form by this date, you will be unable to camp. Do I need a Home contact?

Your REN states that you must set up a Home contact in case of an emergency, covering every Girlguiding member of your group.

Do not have a licence? 

If you or a member of your leadership team doesn’t hold the relevant Going Away With qualification, you and your Unit can still attend the event. You can camp under our Guide Camp Chief’s Going Away With qualification. Again contact us Hurdlestonebookings@gmail.com and in the subject bar please write:  GUIDE CAMP CHIEF 

What other forms do I need? 

A Health form for domestic travel form which should be completed for each participant of your group as close to the event date as possible and should be kept by the adult responsible for the group. If the leader is not attached to an attending Troop or Unit, the form will be held securely by the event organisers.
