INFORMATION FOR LEADERS

Participants of the Challenge

All participants of the Hurdlestone Challenge must be members of a Scout Troop or a Guide Unit aged from 10 years old at the start of the event and under the age of 15 on 1 September of the Challenge year. Therefore, their date of birth should be between 1 September 2011 and 27 June 2016 inclusive.

The balance is payable by 16 May 2026. If the balance is not received by this date, your booking will be cancelled, and the non-refundable deposit will be retained by us.

Although, if you’re having any difficulties in making this payment, please discuss with us. In previous years, we’ve received some payments very late, and in some cases after the event. We can’t let that continue.

Although the event organisers, Campsite Crew and Service Crew are on hand to do many of the jobs required during the weekend, they can't do everything! It's really important that leaders help out too.

During the booking process, you'll be asked to volunteer for a wide range of jobs. You’ll be told which jobs you have been allocated, as soon as we have allocated the jobs in advance of the event.

If you swap a job with another adult, or you're not able to undertake your allocated job, please let us know immediately. It's important that all the jobs are covered, and we know where you are in the event of an emergency

  • RATIOS

Troops/Units will need to provide the correct ratio of adult leaders for the group size and ages.

  • DBS

This is a residential event and therefore all volunteers over the age of 18 (other than 18 year old Rangers in Girlguiding who do not hold a leadership role) must hold a role in Scouting/Girlguiding that requires a DBS check, which must be up to date at the time of the event.

  • Insurance

The event is covered by the usual Scouting and Girlguiding insurance but this does not cover personal possessions or Troop/Unit equipment.

Leaders should check their car insurance to ensure they are covered to use their vehicle for volunteering, before carrying any passengers at the Hurdlestone Challenge event. Remember, children under 12 or under 135cm tall must sit in the rear and use an adult seat belt. Children aged 12 years or more, or over 135cm tall, may travel the front, but must wear the seat belt.

  • Unique Spreadsheet

Ensuring that his is filled and returned with all the correct information. failure to do this may result in cancelation of booking.
