INFORMATION FOR ALL

You'll be directed on a suitable place to park. 

 

Park in the designated area, follow marshals' instructions, and ensure you have a parking permit unless dropping off only.

Parents/those dropping off will be able to escort their children onto the site if needed, assuming the leader has registered their Troop/Unit. Anyone not booked to take part in the event, must leave by 8pm. Parents/those collecting are able to enter the site after the completion of litter pick on Sunday, for the closing ceremony.

Young people will not be able to enter the site, until a leader for your Troop/Unit has registered your group. Once Registered, if any parents or helpers want/need to come onto the site on the Friday of the event, they will be able to do so until 8pm. We will be asking that all leaders then help us clear the site of those not registered to be there by 8pm. After 8pm, we will close the site to only those registered to be there.

The site opens at 3pm on the Friday. For those leaders who are involved in running the event or need time to prepare bases, please make sure you’ve checked that you can arrive earlier. Only those given permission to access the site before 3pm will be able to enter.

The kit list provides details of all the equipment and kit needed for the Challenge weekend.

 

This includes the kit required by Troops/Units, individuals, teams and Challenge participants.

Teams must have all necessary TEAM and INDVIDUAL equipment for the event. Those without, will not be allowed to participate.

 

Kit Check on Friday is a crucial process to ensure all teams and Challenge participants have the correct kit for the event. Kit Check closes at 8:30pm. Those not checked by then, may receive penalty points. Participants should distribute the items for the TEAM between them but carry their own INDIVIDUAL equipment.

After you’ve parked, and if you are the adult responsible for your group, you can enter the site via the Registration tent to register your group.

 

You will need to have ready the printed 'Arrival Check List' and bring:

•All original ‘Hurdlestone Challenge consent and health forms'.

•The copy of the top half of the form from all the originals and bring those copies

If you are responsible for Service Crew:

  • bring the completed ‘Service Crew Attendance forms' for each Service Crew participant with their photograph attached.

  •  If your Service Crew member is arriving before you, send their copy of the top half of the Hurdlestone Challenge consent and health Form for them to bring when they arrive, and you bring their original. Once a leader has registered, members of your group will be able to enter the main camp site via the Camp Gateway.

  • Entertainment

There will be a disco on the Saturday of the event with prizes for fancy dress. The theme this year will be,

     'COUNTRY & WESTERN'

 

You’ll be able to enter for the following competitions:

•Best dressed Scout and Guide

•Best dressed team/group

•Best dressed Service Crew member/Young Leader

•Best dressed leader.

  • Communications

We’ll brief all members of team on the Friday evening. We ask that at least one adult leader attends with their team(s).

Important information will be announced via the public address system during the event, kindly pay attention and respond accordingly.

If you have any queries during the weekend, please go to the ‘Reception tent’. If they don't know the answer, they will know who to ask.

●Rubbish

Rubbish will be separated into recyclable (paper, cardboard, tin and plastic bottles), food waste and everything else. Please use the various bins around the camp site for all rubbish, paying particular attention to the labels and use the correct bin for the rubbish type.

● Lost property

The 'Reception tent' is where you can return or collect lost items. If your lost item hasn’t been returned, we'll inform you when it’s been handed in.

  • Behaviour

Maintaining a high standard of behaviour during events is crucial for participants' health, safety, and enjoyment. Troop/Unit leaders are to ensure young people behave appropriately. Event organisers will discuss inappropriate behaviour with responsible adults.

  • Quiet times

During the weekend, there will be quiet times – between lights out and morning events. These times will be available in the Programme. We ask all Leaders to make sure these are adhered to

● Sleeping arrangements

Participants under 18 must not sleep in a tent by themselves. 

●  Shops and pocket money

The Hurdlestone event will feature tuck, souvenir, and merchandise shops on site. Only limited stock of clothing will be available, so pre-order T-shirts, hats and hoodies by 16 May 2026 to avoid disappointment. Use the Parent Clothing order form to collate your order and then submit a Troop/Unit booking using the Clothing order link
